Terms & Conditions 1). Exhibitors can begin setting up from 7.00 to 10.00 a.m. on the day of the show. All exhibits must be cleared by 5.00pm Sunday. All Exhibitors must book in at the Organisers reception area before proceeding to trade space allocated. 2). Gambling etc. No gambling, auctions, raffles or lotteries will be allowed at this event without the written permission from the Event Organisers. 2a). Weapons. Knives, crossbows, catapults, offensive weapons and firearms of any type, including air powered guns and ‘BB’ Guns are strictly forbidden. 3). Allocation of space. The Event Organisers reserve the right to refuse admission or change the site plan at their discretion. The Event Organisers also reserve the right to refuse an application for exhibition space. Should inclement weather prevent the siting of your exhibit, you should contact the organiser’s office to arrange a suitable tow vehicle. Under no circumstances should this be attempted by any other party. If inclement weather or adverse ground conditions prevent the use of your chosen or allocated site, the organisers reserve the right to arrange an alternative site without prior notice. Any ground damage will be charged for at cost. 4). Sub-letting. It is expressly forbidden to sub-let of all or part of a stand by an Exhibitor unless authorised in writing by the Event Organisers prior to the event. 5). Car Parking. All vehicles must be parked in exhibitors car parking unless they form an integral part of the trade stand. 6). Health & Safety Every trader must provide a detailed risk assessment describing the activities that will be undertaken during the show and the methods to be employed to minimise any hazards. If in doubt an example risk assessment can be provided by the event organisers. The booking cannot be confirmed until a suitable risk assessment has been received. 6a). Health and Safety. At all times from entering upon the event site you will ensure that your exhibition, equipment, vehicles and all or any other property is in a condition that is safe for all persons and who may reasonably and forseeably come into contact with or be affected by it that you, your servants and agents conform to all statutory and local conditions, directions and advices of any whatsoever, wheresoever and to whomsoever. 6b). Fire Safety. Exhibitors must familiarise themselves with fire safety precautions at the venue and are required to provide a minimum of 1 fire extinguisher on their pitch suitable for the items being exhibited or sold. The Event Organisers reserve the right of inspection by the Event Safety Officer of all stands and equipment and to order the use of such equipment or appliances to be discontinued should they contravene fire and safety regulations. 7). Discrepancies. Any discrepancies regarding trade space, are to be reported to BimmerFlex staff at the show- no correspondence will be entered into without this prior notice. 8). Insurance. Exhibitors are required to take out the necessary insurance against fire and all other risks including third party claims. The Exhibitor must also indemnify the Event Organisers against all claims, damages or expense whatsoever in any way arising out of his attendance or his exhibits on the event site. The agreement for a trade stand shall be deemed as confirmation by the Exhibitor that the necessary insurance cover has been obtained, and the Exhibitor agrees to indemnify the Event Organisers, their staff and their agents against all and any claims which may arise. 9). Security. Although day security will be supplied by the Event Organisers during the event, trade stand holders are responsible for the safe keeping of all goods or items on their stands. The Event Organisers will not be responsible in any way for the loss or damage to Exhibitors property whilst it is on the event site. 10). Waste. Exhibitors are responsible for the cleanliness of their stands. The distribution of leaflets, posters or other billing materials outside the confines of the stand is forbidden on the event site except by written permission from the Event Organisers. Without exception traders and club organisers MUST remove all trade waste from the site and leave their pitch tidy otherwise the event organisers reserve the right to pass on any additional fees from the venue to the client(s). 11). Anti-social behaviour of any kind will not be tollerated. BIMMERFLEX DOES HAVE PUBLIC LIABILITY INSURANCE. HOWEVER, WE DO NOT ACCEPT RESPONSIBILITY FOR ANY INJURIES OR DAMAGE CAUSED BY WILFUL NEGLIGENCE OF ANY PERSON OR PERSONS USING THE GROUND AND ITS FACILITIES. BIMMEFLEX RESERVES THE RIGHT TO REFUSE ADMISSION OR EJECT ANY PERSON FROM THE GROUND, IF THEIR BEHAVIOUS IS CAUSING A NUISANCE TO OTHERS AT ANY TIME. •Picnic area/riverside location - Parents/guardians to supervise their children at all times •Plenty of off street local parking •Overspill car park at venue •Toilets •Disabled access •All cars, persons, visitors, exhibitors, stands, vehicles, traders do so at their own risk •BimmerFlex cannot be held responsible for any theft, loss, damage, accident(s) however caused •BimmerFlex reserves the right to refuse admission •5mph maximum speed at all times •Small speed bumps at entrance (lowered cars be aware) •Vehicles to have minimum amount of fuel in tank •All Vehicles to be Taxed & Insured •Trained First Aider on site •No electrical outputs on site •Security Ground Staff •Anti-Social Driving will not be allowed •No Dough Nuts on site whatsoever •No Speeding or Anti-Social Driving •Engines to be switched off while on display •ICE maybe played at low levels •Traders can set up from 7am - Show Time 10am - 4pm
